Optimizing of the Briefing Process: How a Model-Based Approach can Support the Briefing Process

Abstract [en]

A construction project that runs from pre-study to facility management requires the interaction between many various stakeholders, putting high demand on the information management process. An important part of information management is the briefing process, which in this context refers to the process of collecting and defining the client's requirements throughout the construction project.The process for requirement management in two different hospital projects, New Karolinska Solna and Central Hospital in Karlstad, has been studied. The purpose was to investigate how the briefing process can be improved by applying a more model-based approach. The briefing processes in the two projects were first mapped through interviews with stakeholders with extensive knowledge and involvement in the two projects. In addition to interviews, data was also collected through a literature review and from project-specific documents, such as room data sheets. A general map of the briefing process was then compiled in order to provide a general model applicable for a larger variety of projects. The model was then used to analyse how activities and deliveries are handled with respect to model orientation. The two main deficiencies identified in the process were inadequate documentation and an insufficient level of a model-based approach. First, the documentation was considered inadequate due to:• Inadequate routines and methods for how documentation was handled, which leads to information being lost along the way and a deteriorating traceability of requirements.• Lack of a standardized approach for defining requirements. This leads to difficulties in comparing requirements and to further develop technical solutions that meet the requirements.Secondly, the model-based approach was considered inadequate with regard to three aspects:• How information was visualized to project members• How computer tools integrated information about requirements, cost calculation and scheduling • The extent of which tasks were handled manually Based on these conclusions, the following recommendations are given:1. Increase the model-based support and integration with cost estimation and scheduling2. Use the database as a tool for experience feedback of constructed health facilities for the client3. Structure the database according to BSAB to include requirements on building parts
